Invoices From the Job: How the Plumber App Ends the Friday Billing Pile
In a lot of small plumbing companies, Friday afternoon belongs to billing. The owner or office manager sits with a stack of paper tickets, a few photos texted in during the week and a list of “did you do the Martinez job?” questions. Each ticket gets typed into an invoice, a few get lost, and some work never gets billed at all. When the invoice comes from the job itself, that pile does not exist.
The Job Becomes the Invoice
Charging the card at the end of a call is covered in Charging the Card on File When the Plumber Taps Complete. That charge depends on an invoice, and this guide is about where that invoice comes from.
In PlumbingBossPro, a job already has its line items before the plumber arrives. A service call booked by phone has the service call on it. An approved estimate for a water heater replacement carries its line items onto the scheduled job. A recurring yearly flush comes due with the flush on it. When the plumber taps Complete, the invoice is created from those line items, with sales tax where it applies. Nobody retypes anything.
Line Items From Your Service List
The services on a job come from your own service list: service call, drain cleaning, main line, hydro-jetting, camera inspection, faucet, toilet, disposal, leak repair, water heater replacement, tankless install, PRV, softener, backflow test, or whatever you set up. Each has your price. A $189 drain cleaning is a $189 drain cleaning no matter which plumber did it or who in the office built the invoice.
That consistency matters. Customers compare notes with neighbors. Two neighbors charged different amounts for the same yearly flush by the same company will both call the office.
When the Job Changes on Site
Plumbing calls do not always match what was booked. A slow drain turns out to be a broken trap that needs replacing. A flush reveals a relief valve that will not reseat. The plumber writes what they found and did in the job notes, with photos, and lets the office know so the extra work goes on the job as a line item before it is completed.
Because the notes and photos are on the job, the office is not guessing. The customer sees an invoice that matches what the plumber told them at the door, backed by photos if they ask. That is the opposite of the old surprise: a paper ticket that says “misc parts” and a number nobody can explain.
How the Customer Sees It
Once the invoice exists, the customer can see it in the customer app. If a card is on file and auto-charge is on, it is already paid. If not, they can pay online from the app, or the office can follow up. Invoices go out by email as well, and past-due invoices get follow-up so the office is not writing every reminder by hand.
Property managers and restaurants set to Monthly get one statement a month covering every address instead of an invoice per visit. Each line is labeled with the address, so the manager can see which rental or which location the work was done at.
What the Office Gets Back
The time saved is obvious: no Friday afternoon typing. The less obvious gain is completeness. Work done on Tuesday is invoiced on Tuesday. Nothing sits in a glove box. Nothing is forgotten because the plumber left the ticket in another pair of pants. Every completed job has an invoice, and the office can see at a glance which are paid and which are still open.
It also changes the conversation with the plumbers. Instead of asking them to fill out tickets at the end of a long day, the company asks for a few honest notes and photos during the job. Most plumbers will happily trade a paper ticket for that. More on that in A Plumber App for Plumbers Who Hate Paperwork.
Habits That Keep Invoices Clean
- Set up your service list once, properly. Clear names and your real prices make every invoice clean.
- Build estimates from the service list. Approved estimates carry their line items onto the job.
- Tell the office about extra work before tapping Complete. The invoice should match what the customer saw.
- Write notes in plain language. They explain the invoice if the customer calls.
- Push for cards on file. The fastest invoice to collect is the one paid at completion.
