What the Office Sees When a Plumber Completes a Job
Most guides to a tech app focus on the plumber. But the reason a plumbing company adopts one is usually the office: the owner, the dispatcher, the person answering the phone. They are the ones who spent years chasing paper tickets, texting plumbers for updates and typing invoices on Friday. This guide is about what they see when a plumber taps Complete in the PlumbingBossPro tech app.
The Job Turns Complete
A full drain call from start to finish is covered in A Drain Cleaning Call in the Plumber App, From Dispatch to Paid. This guide looks at the same moment from the other side of the phone.
The moment the plumber taps Complete, the job shows as complete in the office. The dispatcher looking at the board sees it change. There is no text to read, no call to take, no ticket to wait for. Combined with Start, which showed the job underway, and crew GPS on the office map, the office has a live picture of every van's day.
Notes and Photos
Attached to the completed job are the plumber's notes and before-and-after photos. That is where the office learns what actually happened on the call:
- “Replaced cartridge in kitchen faucet. Supply lines original and corroded, recommended replacement.”
- “Cleared main line at cleanout, roots. Recommend camera inspection.”
- Photos of the corroded supply line, the roots on the cable, the dry floor after.
Those notes are where follow-up work comes from. A recommended supply line replacement or camera inspection becomes an estimate built from the service list and sent for online approval, without anyone having to remember to ask the plumber about it.
The Inspection Checklist
On maintenance visits, the completed job carries the full inspection checklist: what was checked, the readings, the condition and the recommendations. The office can print it as a Plumbing Inspection Report for the homeowner. That report is often what keeps a customer on a yearly plan, and the recommendations are often the next job. How that report is built is covered in The Printable Plumbing Inspection Report: From the Tech's Checklist to the Homeowner's Hands.
The Invoice and the Payment
Complete creates the invoice from the job's line items, with sales tax where it applies. If the customer has a card on file and auto-charge on completion is set up, the office sees the invoice already paid. If not, the invoice is waiting for the customer in the customer app, and past-due follow-up kicks in if it goes unpaid.
For property managers and restaurants on Monthly billing, the completed job becomes a line on the month's statement, labeled with the address. The office does not have to do anything special for those accounts. The billing rules on the account decide it.
Skips With Reasons
Not every job completes. When a plumber taps Skip, the office sees the skip with the plumber's note: “No one home, knocked and waited ten minutes, left door hanger.” “Water heater closet blocked, customer will clear, reschedule.” Two-way texting lets the office reach the customer right away, and the job goes back on the schedule for another day.
Every skip with a clear reason is a reschedule that takes two minutes instead of a mystery that takes twenty.
Recurring Work Comes Due Again
For recurring work, completion starts the clock on the next visit. A yearly water heater flush completed today comes due again in about a year based on the plan's minimum days between visits. A restaurant's grease-line jetting every 14 or 30 days comes due on that schedule. The Waiting List shows each one when it is due, with pins colored not due yet, due now, or overdue past a 7-day grace. Nobody keeps a separate calendar of who is due when.
What the Office Stops Doing
Add it up and the office stops doing a long list of things: calling plumbers to ask where they are, waiting on paper tickets, typing invoices, chasing payment on every job, reading gate codes and shut-off locations over the phone, and keeping a separate list of who is due for a flush. That time goes back to booking calls, following up on estimates and talking to customers.
For a plumbing company with two or three vans, that is often the difference between an owner who works on the business and one who works in the office until 8pm. For the plumber's side of the same day, visit the PlumbingBossPro plumber app page.
