Plumbing Dispatch With a Small Office: One Person on the Phones and the Board

Most plumbing companies do not have a dispatcher. They have one person, often a spouse, a family member or a long-time office manager, who answers the phone, books the calls, routes the vans, texts customers, sends invoices and chases payments. When that person is overloaded, everything slips at once.

The Routine, Compressed

The full routine in A Daily Plumbing Dispatch Routine: Morning, Midday and End of Day assumes someone has time for it. In a one-person office, dispatch happens between phone calls. The goal is to make each dispatch task as short as possible and let the software handle what it can.

Let the Texts Answer the Phone

The single biggest time sink in a small plumbing office is the “when is the plumber coming?” call. Each one is short, but there are a lot of them, and each one interrupts something else.

PlumbingBossPro sends customer alerts automatically, based on what each customer chose: a night-before reminder, a text when they're next, and a text when the tech arrives. The customer app shows their place in line on a live map. Encourage every customer to turn on alerts when they book. Every alert that goes out is a call that does not come in.

Let the Phones Report Back

The second time sink is calling techs to find out what is going on. In a small office, that is time nobody has. Techs tap Start, Skip and Complete on their phones, and the board shows it. Crew GPS shows where each van is on the office map. Skips come with the tech's reason.

Make it a rule: the office does not call a tech for a status update unless the board and the map cannot answer the question.

Keep Dispatch to a Few Moves

For a one-person office, dispatch should be a handful of quick moves:

Saved views make each of these faster. Open “Van 1 today,” make the change, move on.

Batch the Non-Urgent Work

Not everything needs to happen the moment it arrives. Batch the work that can wait:

Emergencies and approved estimates are the exceptions. Handle those right away.

Let Billing Run Itself

Billing eats office time too. When a tech completes a job, the invoice is created and a card on file can be charged automatically. Customers can pay online from the customer app. Past-due follow-up goes out on its own. Property managers and restaurant groups set to Monthly get one statement covering every address.

Every invoice that pays itself is one less thing between the office person and the phone.

Let Customers Do Some of the Work

The customer app lets customers request service, sign up for plans like a yearly water heater flush, update their card, see invoices, pay and choose their alerts. Every customer who updates their own card or pays online is a call that did not happen.

Point customers to the app when they call: “You can also update your card in the app, it's quicker.”

When the Owner Is Also Dispatching

In many small shops, the owner helps with dispatch from the truck between jobs. That works best when the owner and the office use the same saved views and agree who owns the route order. If the owner moves a stop from the field, a quick text to the office keeps everyone aligned. The owner-operator side is covered in Dispatching From the Truck: The Owner-Operator Plumber's Schedule.

Covering for the Office Person

A one-person office has one big risk: what happens when that person is out. Office user roles let you give a backup person access without handing over everything. A short written routine plus a set of saved views means someone else can run dispatch for a day without guessing.

Small Office, Full Schedule

A small plumbing office can run several vans if the software takes the repetitive work off its plate: texts, status updates, billing and customer self-service. Then the office person can focus on the calls that need a human. To see the dispatch tools that make that possible, visit the PlumbingBossPro plumbing dispatch software page.
