Invoicing as an Owner-Operator Plumber: Billing From the Van Between Calls
An owner-operator plumber is the tech, the dispatcher, the estimator and the billing department, often in the same hour. The plumbing gets done because it has to. The invoicing gets done at 9pm at the kitchen table, or on Sunday, or not at all until the bank account says something is wrong. It does not have to work that way.
Reports Are Short When You Are Small
The weekly numbers in Plumbing Billing Reports: What to Look At Every Week and Every Month take a one-van shop a few minutes. The bigger win for an owner-operator is not needing a billing session at all, because billing happens on the job.
The Invoice Is Done When the Job Is Done
In PlumbingBossPro, the tech app runs on the phone you already carry — iPhone or Android, in the browser, installable to the home screen with no app store. You log in with your company login and PIN, see your calls in route order, and tap the navigation button to drive to the first one.
At each job, you see the equipment saved on the house, access notes and past notes. You do the work, take before-and-after photos, and tap Complete. The invoice is created from the job right then. If the customer has a card on file, it can be charged before you back out of the driveway.
That is the whole billing step. No carbon pad, no typing it up later.
Set Up Once, Bill All Year
The setup takes an evening, and it pays back every day after:
- Your service list. Service call, drain cleaning, main line, faucet, toilet, disposal, leak repair, water heater replacement and whatever else you do, with your own prices.
- Sales tax. Set up the way your accountant says applies to you.
- Your customers. Bring them in with a CSV import. Addresses are placed on the map automatically.
- Your sign-up form. Put it on your website so new customers come in with a card on file.
Adding Lines From the Van
Owner-operators often find extra work on a call: a second leaking valve, a toilet that needs a new flapper while you are there. Because you are also the office, you can add the line to the job yourself from your phone before tapping Complete. Keep it to your service list so prices stay consistent, and tell the customer before you do the extra work.
For bigger finds — a water heater on its last legs, a main line that needs jetting — build an estimate from the service list. The customer approves online, and the approved estimate becomes a scheduled job. You can do that from the driveway too.
Let the Software Chase for You
The part of billing owner-operators hate most is chasing money. PlumbingBossPro handles most of it:
- Past-due follow-up goes out by text and email on its own.
- Customers pay online from the customer app.
- Customers update their own card when it is declined or expires.
- Property managers and restaurants set to Monthly get one statement covering every address.
You only step in when something needs a personal touch, like a customer with a question.
Texts Without Phone Tag
Owner-operators cannot answer the phone under a sink. Automatic on-the-way and arrived texts tell customers you are coming. Two-way texting lets you answer billing questions when you have a minute between calls, with the invoice right there. Customers choose their own alerts: night before, when they are next, and when the tech arrives.
Plans include a monthly text allowance: 500, 1,000 or 2,000 segments sent and received on Start, Pro and Crew.
When you hire your first office helper or second tech, nothing about billing has to change. Add them as an employee with their own PIN or as an office user with the right role, and they work in the same system you have been using. The habits you built alone carry straight over, which makes growing a lot less painful.
A Fifteen-Minute Weekly Routine
Once a week, at a time you protect:
- Look at open invoices and declined cards. Send a personal text where needed.
- Check the Waiting List for flush plans and other recurring visits coming due, and schedule them.
- Glance at what was invoiced and paid.
That is it. The Start plan at $59 a month covers a one-van shop, and you can move to Pro at $89 or Crew at $199 when you add vans and people. Moving off paper is covered in Moving Plumbing Billing Off Paper Invoices and the Carbon Pad. For the full billing picture, see the plumbing invoicing software page.
No More Kitchen-Table Invoicing
PlumbingBossPro creates the invoice when you tap Complete and charges the card on file, so billing is done before you leave the driveway.
