Plumbing Scheduling Mistakes That Cost You a Day, and How to Avoid Them

Most bad plumbing days are not caused by bad luck. They are caused by a scheduling decision made the day before, or a habit nobody noticed. The good news is that the same few mistakes show up in almost every shop, and each one has a simple fix.

Mistakes Survive Every System

Moving off paper, as in Moving Plumbing Scheduling Off the Whiteboard and the Paper Calendar, fixes a lot of problems. It does not fix habits. These are the ones worth watching for no matter what you schedule with.

1. Starting Long Jobs Late

A water heater swap booked as the last stop of the day is a customer without hot water overnight if anything goes wrong. Fix: put long jobs first or second in the route order, and keep the stops after them light. More in Scheduling Long Plumbing Jobs: Water Heater Swaps and Repipes Next to Short Service Calls.

2. Filling Every Slot

A board with no gaps looks efficient at 7am. At 10:15, when the backed-up sewer calls in, it means somebody gets bumped and somebody waits. Fix: leave room on the repair and drain van for emergencies. Fill the gap with due visits from the Waiting List later in the day if it stays quiet.

3. Booking Without Looking

“Sure, we can do Thursday” said from memory leads to Thursday with nine stops and a tank swap. Fix: filter the board by the right van and look at the day before offering it. It takes a few seconds.

4. Sending the Wrong Van

A clogged main sent to the van without the drain machine, or a water heater replacement sent to the van running short calls all day. Fix: decide which work goes to which van, write it down, and check the van assignment on every booking.

5. Not Knowing the Equipment

The tech arrives expecting a 40-gallon electric and finds a 50-gallon gas tank in an attic. Second trip. Fix: keep equipment records on each house and pick from them when creating the job, so the tech sees type, size, fuel and location on the card. Fill in at least the water heater and main shut-off on every first visit.

6. Forgetting the Skips

The tech skips a stop because nobody was home, the office is busy, and the job sits on yesterday's board until the customer calls angry. Fix: rebook every skip before the office closes. The skip reason from the tech tells you what to fix first.

7. Letting Recurring Work Slide

Busy weeks crowd out yearly flushes and softener service, and customers on a plan quietly stop getting what they signed up for. Fix: check the Waiting List for overdue pins every week, and give maintenance a guaranteed slot, such as two afternoons a week on the maintenance van.

8. Promising Times You Cannot Keep

Exact times in a trade full of surprises lead to broken promises. Fix: promise windows you can hit, like morning or afternoon, and let the automatic when-they're-next and on-the-way texts tighten it on the day.

9. Telling Customers Late

A customer who learns at 4:30 that their afternoon appointment is moving to tomorrow is a lost customer. Fix: do a midday check of every van. If a van is behind, text the affected customers early through two-way texting.

10. Calling Techs for Updates

Every “where are you?” call interrupts work and slows the day down. Fix: use the board for Start, Skip and Complete status and crew GPS on the office map for location. Call only when those cannot answer the question.

11. Letting Approved Estimates Sit

A customer says yes and hears nothing for a week. Fix: check approved estimates twice a day and book them the same day they come in.

12. Two Schedules That Disagree

The board says one thing, the whiteboard says another, and the tech followed a text from the owner. Fix: one schedule. If it is not on the board, it is not scheduled. Print route sheets from the board if anyone wants paper.

Spotting Your Own Mistakes

The quickest way to find which of these your shop makes is to look back at last week. Which days ran late, and why? Which customers called asking where the plumber was? Which jobs needed a second trip? Each answer usually points to one of the habits above. Fix the most common one first, then the next.

Small Habits, Better Days

Nearly every one of these mistakes is fixed by a habit, not a heroic effort: look before booking, start long jobs early, leave room, rebook skips, check midday and keep one schedule. To see the dispatch tools that make those habits easy, visit the PlumbingBossPro plumbing dispatch software page.
