Filling Slow Plumbing Weeks From the Water Heater Flush Waiting List
Every plumbing company has the week where the phone goes quiet. No frozen pipes, no holiday drain clogs, just a couple of faucet repairs and a lot of guys standing around the shop. Payroll does not go quiet. A flush plan is the best tool a small shop has for those weeks, as long as you can find the work fast.
The Waiting List Is Your Backlog
On a busy week, the grace period from The 7-Day Grace on Plumbing Flush Visits: When a Due Pin Turns Overdue gives the office room to push maintenance a few days. On a slow week, the same Waiting List works the other way. It is a map of every member with a visit coming, and some of those visits can happen now.
Open the Waiting List and look at three groups:
- Overdue and due pins you have not scheduled yet. These come first.
- Not-due-yet pins close to their date, sitting near due ones.
- One-time jobs waiting on the list, like a replacement quote that was approved but never booked.
Pulling Visits Forward
A not-due-yet pin is a member whose yearly flush is coming in a few weeks. Doing it now costs you nothing in drive time if there are due members on the same street, and it keeps a tech billing instead of sweeping the shop.
Be sensible about how far forward you pull. A visit a couple of weeks early is fine. A visit two months early makes the member wonder what they are paying for, and because the plan is counted from the last completed visit, the next one moves earlier too. Pull forward the visits that are close, not the ones that just happened.
Building the Day
The method is the same as any maintenance day, just with a wider net:
- Start with every due and overdue pin in one area.
- Add not-due-yet members on the same streets until the day is full.
- Assign them to the van, then auto-route Closest First or Furthest First from the shop.
- Text the pulled-forward members to offer the day. Most will say yes to getting it done early.
Two-way texting from the office makes the last step quick. A short message such as “We're in your neighborhood Thursday and can do your yearly water heater flush a few weeks early. Does that work?” gets answers within the hour.
Keep the tech's day realistic. Pulled-forward members tend to say yes, and it is tempting to stack ten flushes on one van. A rushed flush with a skipped T&P test is worse than no visit at all, because the member paid for the whole checklist. Fill the day the way you would on a normal week, and if there are still idle hands, send the second tech out on a separate cluster rather than overloading one route.
Use the Visits to Create Next Week's Work
A maintenance visit on a slow week is not just billable time. It is an inspection. The checklist covers the water heater, the T&P valve, pressure, visible leaks, toilets, faucets and supply lines, drains, hose bibs and more. Every Needs attention or Repair recommended finding is a possible job.
When the office builds quotes from those findings the same day, the slow week turns into a busier next week. That process is laid out in Spotting Old Water Heaters on Maintenance Visits and Turning Findings Into Replacement Quotes.
Other Ways to Fill the Gap
The Waiting List is the fastest source of slow-week work, but it is not the only one:
- Members with a second item. A member on a flush plan who also has a softener may be due for softener service soon. Combine them.
- Landlord homes. A landlord with a dozen houses may be glad to have several flushed in the same week, especially between tenants.
- Old customers without a plan. Past repair customers with an older water heater on the record are good people to text with a flush offer.
Plan for Slow Weeks Before They Happen
The shops that handle slow seasons well tend to have enough members that the Waiting List never runs dry. If you know a certain time of year is quiet, keep selling plans through the busy months so there is work to pull from later. Members signed up in a busy month come due in the same month the next year, so sales spread across the year make for a smoother schedule.
A slow week with a full Waiting List is a scheduling exercise, not a crisis. To see how the map, the plans and billing work together, head back to water heater service software on PlumbingBossPro.
