Proof-of-Service Photos for Property Managers: Showing the Plumbing Work Was Done

A property manager pays for work they almost never see. They were not in the rental when the drain was cleared, not in the restaurant at 6am when the line was jetted, not in the riser room when the backflow was tested. They have to trust the plumber. Good photos turn that trust into something they can look at, forward to an owner and point to if a tenant disputes it later.

Why Photos Matter More on Commercial Work

The request process in Handling Property Manager Plumbing Requests: From the Manager's Message to a Scheduled Job ends with the job done. Proof is what makes that ending stick. For a homeowner, the proof is that the sink drains. For a manager, the proof needs to travel:

A clear before-and-after photo answers all four in seconds.

How Photos Work in PlumbingBossPro

On the tech app, the tech takes before-and-after photos right on the job. They are saved with that job, at that address, under that client. Nobody has to text them to the office, drop them in a shared folder or remember which phone they are on.

When the manager has a question, the office opens the job and the photos are there with the tech's notes, the date and the address. When the monthly statement goes out, every line traces back to a job that has its photos attached.

What to Photograph

Not every photo is useful. A blurry shot of a dark cabinet proves nothing. Teach techs a simple routine for commercial and rental work:

Keep tenants' belongings and faces out of the frame where you can. The photo is about the plumbing, and a tenant will not appreciate a picture of their bathroom shelf being forwarded to an owner.

Four photos per job is plenty for most calls. Turn on the lights or use the phone's flashlight. Get close enough to see the detail.

Photos for Recurring Work

Recurring visits need proof too, maybe more. A restaurant on a 14-day jetting plan is paying for something nobody inside the kitchen sees happen. A before-and-after of the cleanout or the line, with a short note like “Moderate grease at 30 feet, jetted clear,” is the only evidence the visit happened.

For yearly backflow tests and water heater flushes, a photo of the device or the heater's label each visit builds a year-over-year record. Paired with the inspection checklist and its readings, it gives the manager a complete picture of the building over time.

Photos and Tenant Disputes

Rentals bring tenant disputes. A tenant says the plumber never came. A tenant says the leak under the sink has been there since move-in. A tenant says the tech left a mess.

Dated photos saved with the job settle most of these quickly. A photo of the finished repair and the clean cabinet floor is hard to argue with. A make-ready photo set, taken when the unit was empty, shows what the plumbing looked like before the tenant moved in. Managers who have been through a deposit dispute appreciate this more than almost anything else you can offer.

Sharing With the Manager

The manager can see the work in a few ways. The office can share what the photos show by two-way text right after the job (“Unit B drain cleared, heavy grease at the trap”), the inspection report can be printed for the owner, and the photos stay with the job for any later question. Managers who see clear proof on the first few calls stop asking for it, because they trust it is there.

The inspection report goes further than photos alone. It is covered next in Plumbing Inspection Reports for Landlords and Property Managers.
