Renewing Plumbing Maintenance Plans Year After Year
Signing up a member is the hard part. Keeping them is where the money is. A member who stays five years is five flushes, a handful of repairs and very likely a water heater replacement. A member who drops after one year is a single visit. Renewal is not a once-a-year event to manage. It is the result of every visit going well.
Reminders Set Up the Renewal
The reminders in Flush Reminders by Text and Email: Getting Plan Members Ready for the Plumber are the member's main contact with your company between visits. When they arrive on time and the tech shows up when promised, the member never has a reason to think about cancelling.
Plans That Keep Going
In PlumbingBossPro, a recurring plan is set by minimum days between visits. A yearly flush at 365 days does not expire at the end of a year. When this year's visit is completed, the next one comes due 365 days later, and the one after that, until someone ends the plan.
That means renewal is the default. The member does not have to re-sign every year, and the office does not have to re-enter anyone. If your plan is billed per visit with a card on file, nothing needs to happen at the anniversary except the visit itself.
If you bill an annual fee instead, the renewal charge is a moment to handle carefully. Tell members before it happens and make it easy to ask questions.
The Visit Is the Renewal Pitch
Every yearly visit is your chance to show the plan is worth keeping:
- Show up on time. The Waiting List and the 7-day grace exist so visits do not drift.
- Do the whole checklist. Flush, anode rod, T&P valve, pressure, temperature, leaks. Skipping steps is noticed.
- Explain what you found. Thirty seconds with the member at the end of the visit, plus the printed inspection report, makes the value visible.
- Leave the area clean. A wet garage floor is the memory that lasts.
Members who feel they got something every year renew without thinking. Members who never see the tech start to wonder what they are paying for.
Raising the Price
Costs go up and your plan price should too, from time to time. Handle it plainly:
- Tell members ahead of time by text and email, with the new price and the date it applies.
- Apply it at the next visit, not in the middle of a billing period.
- Keep the reason short. “Our costs have gone up and this is our first change in two years” is enough.
Update the price on your service list so new invoices use it. Most members accept a modest, well-explained increase. A surprise one on the invoice is what loses them.
Keep Cards Current
A plan billed at completion can fail at renewal time for a simple reason: the card on file expired. Members can update their card in the customer app. Before a cluster of visits, especially for members whose last charge was a year ago, a quick text asking them to check their card saves a lot of declined-charge follow-up.
Upgrade at Renewal
The yearly visit is also a natural time to add to the plan. A member whose hardness reading is high might add softener service. A member who just had a tankless unit installed needs their plan switched to descaling. A member with a sump pump in the basement might want it checked each year as well. Add the service to the house and line the visits up so one trip covers everything.
Win Back the Ones Who Lapse
Some members will slip away without formally cancelling. They stop answering texts, or they move. Track them so you can follow up. Tags like “Plan member” and “Lapsed” on clients make them easy to find, and Tracking Plan Members in Reports: Who Is Signed Up, Who Is Due and Who Has Lapsed covers how to keep an eye on the numbers.
A friendly text a few months after a lapse, offering to book their next flush, wins back a fair number. People often meant to keep the plan and simply lost track. And when a lapsed member moves, the equipment records stay on the house. The new owner is a fresh prospect who already has a history with you.
Renewal Is a Habit
Plans that renew are plans that run smoothly: visits on time, reports that show the work, fair prices and easy payment. None of it is complicated. It just has to happen every year. For the rest of the program, from equipment records to the Waiting List, see the water heater service software page.
Plans That Renew Themselves
PlumbingBossPro brings each member's visit back every year until the plan is ended, with no re-entry for the office.
