What the Plumber Sees on the Job Card at a Water Heater Visit
The office can have perfect records and a perfect route, but the visit happens at the tank, with a tech holding a phone. If the job card does not tell them what they need, they call the office, guess, or waste time looking. A good job card answers the tech's questions before they get out of the van.
From the Route to the Card
The maintenance van's day, built in One Van on Water Heaters: Routing Flush and Maintenance Visits by Area, shows on the tech's phone as a list of calls in route order. Each call opens into a job card.
The tech app runs in the browser on iPhone and Android and can be installed to the home screen. Techs sign in with your company login and a personal PIN, so every visit, photo and checklist belongs to the right person.
The Top of the Card
At the top: the address, the client and what the visit is, such as “Yearly Water Heater Flush.” A navigation button opens directions to the address in one tap. Nobody types an address while driving.
The Equipment Line
This is the part that makes the card worth having. The equipment saved on the house shows in plain language:
- “Water Heater - Tank (Gas) · Rheem XG50T06 · 50 gal · Natural Gas · installed 2014”
- The serial number on the next line.
- “Garage · Shut-off is in the meter box at the curb”
In three lines, the tech knows the type, fuel, brand, model, size, age and location of the water heater, plus where to shut the water off if something goes wrong. If the house has a softener, a backflow preventer or a sump pump on its record, those show too.
How this equipment gets onto the house in the first place is covered in Tracking Every Water Heater You Service: Equipment Records Saved on the House.
Access Notes and Past Notes
Below the equipment are access notes: garage codes, dogs, which door to use, “Attic access in the hall closet, bring the long hose.” These live on the house, so they show every time the house is on someone's route.
Past notes show what earlier techs wrote. “Drain valve is plastic and brittle, go easy” or “Recommended T&P replacement last year, member declined.” A tech who reads past notes walks in already knowing the history, and the member notices.
Start, the Checklist and Photos
When the tech arrives, they tap Start. The customer gets the arrived text automatically if they chose that alert, and the office sees the visit is underway.
The inspection checklist is on the card. The tech works through it during the visit: main shut-off, water pressure, water heater temperature, flush, anode rod, T&P valve, venting, visible leaks and the rest, with readings such as psi, the water heater setting, hot water at the tap, sediment drained and water heater age. At the end, they choose a condition and write recommendations.
Before-and-after photos attach to the job. A photo of the sediment in the bucket or the rust at the base is useful to the office and convincing to the homeowner.
If the tech finds that the record is wrong, say the tank is 40 gallons and not 50, they correct it on the job, and the change flows back to the house.
Skip or Complete
If nobody is home or the tech cannot get to the water heater, they tap Skip and note why. The office sees the skip with the reason and can rebook. The visit stays due on the Waiting List.
When the work is done, the tech taps Complete. The invoice is created and, with a card on file, charged. The office sees the finished checklist, photos and notes on the job and can print a Plumbing Inspection Report. The recurring plan starts counting toward the next visit.
Then the tech looks at the next card in route order. The on-the-way text goes to the next customer automatically.
Why the Card Matters
A clear job card means any tech can run any maintenance route. A new hire on their first week sees the same information as someone who has been to the house five times. Fewer calls to the office, fewer wrong parts, fewer surprises. The time clock on the same phone records hours as the day goes, and crew GPS shows the van on the office map.
