Water Heater Service Software: The Complete Guide to Flush Plans and Maintenance Members for Plumbing Companies

Most plumbing companies live on the phone ringing. A slab leak, a backed-up kitchen sink, no hot water on a Sunday. That work pays, but it comes in waves, and the slow weeks hurt. A maintenance plan built around the water heater is the steadiest work a plumber can sell: the same houses, the same visit, every year, booked on your schedule instead of the customer's emergency.

The catch is that a plan is a promise to remember. This guide walks through how a plumbing company can run water heater flushes and other maintenance plans so that nothing depends on somebody's memory or a spreadsheet nobody opens.

Start With the Equipment on the House

Everything in a maintenance program hangs off the equipment. Before you can plan a yearly flush, you need to know what you are flushing. This page is the starting point for the guides on the water heater service software page, and the first thing those guides cover is the record.

In PlumbingBossPro, every property keeps a list of its equipment. For a water heater that means:

The same list holds the water softener, whole-house filtration, sump pump, sewage ejector, well pump, garbage disposal, main water shut-off, sewer cleanout and backflow preventer. When a new job is created at that house, the “From House” picker fills in the equipment, and any change the tech makes on the job flows back to the house. The record gets better every visit instead of going stale. The details worth recording are covered in Tank or Tankless, Gas or Electric: The Water Heater Details Every Plumber Should Record.

Set the Plan by Days Between Visits

Recurring work in PlumbingBossPro is set by minimum days between visits. A yearly water heater flush is 365. A water softener service might be yearly too, or more often if the water is hard. Tankless descaling, backflow tests and restaurant grease-line jetting every 14 or 30 days all work the same way.

You do not build a calendar a year ahead. When a visit is completed, the clock starts again, and when the days are up the next visit comes due on its own. If a member's flush ran late this year, next year's visit is counted from the day it was actually done, not from a date somebody typed in last spring.

Work the Waiting List

Every visit that has come due shows on the Waiting List, a live map and list of the work waiting to be scheduled. Pins are colored by status:

The map is where a maintenance program is actually run. The office looks at a cluster of due pins on the north side, assigns them to the maintenance van for Tuesday, and auto-routes them Closest First or Furthest First from the shop. The tech's phone shows the same order. On a slow week, the not-due-yet pins near the due ones fill out the day, so the van is never sent out half empty.

Sell the Plan Where the Trust Is

The best moment to sell a flush plan is at the end of a repair call, when the customer has just watched you fix something and you are standing next to their water heater. Tell them what the yearly visit includes, what it costs, and that you will text them when it is due. Then make signing up easy.

PlumbingBossPro has a sign-up form that captures the customer's details and card. The response lands in Form Responses, and one click converts it into a client. Customers can also sign up for services and pricing, such as a yearly flush plan, from the customer app.

Pricing is your call. Plenty of shops start with a single yearly visit price, such as $129 for a tank flush and inspection, and add a member perk like a reduced service call fee. The guides in this series walk through how to set a price that covers the van, the tech and the drive.

Run the Visit From the Checklist

A maintenance visit should look the same no matter which tech does it. The tech app carries an inspection checklist: main shut-off tested, water pressure, water heater temperature, flush, anode rod, T&P valve, venting, visible leaks, toilets, faucets and supply lines, drains, disposal, hose bibs, sump pump and softener. There are fields for readings — water pressure in psi, the water heater setting, hot water at the tap, flow rate, hardness, sediment drained, water heater age, gas pressure and leaks found — plus a condition (Good, Needs attention or Repair recommended) and recommendations.

The office sees the completed checklist on the job and can print a Plumbing Inspection Report for the homeowner. That report is what makes the visit feel worth paying for, and it is where the next job comes from.

Turn Findings Into the Next Job

Because the year installed is on the record, an aging tank is easy to spot. When the tech marks the water heater as Repair recommended and writes down rust at the base or a weeping T&P valve, the office can build a replacement estimate from your service list. Equipment details can be filled in on the estimate and carry onto the job. The customer approves online, and the approved estimate becomes the scheduled job. A yearly flush plan, run well, is the most reliable source of water heater replacements a small shop has.

Get Paid Without Chasing

With a card on file, the tech taps Complete, the invoice is created and the card can be charged before the van leaves the driveway. You can also charge on a schedule. Landlords and property managers with many homes can be set to Monthly and get one statement covering every address, with each line labeled by the address. Past-due follow-up handles the rest.

Keep Members Coming Back

Automated reminders by text and email tell members their visit is coming. Customers choose their alerts in the customer app: night before, when they are next, and when the tech arrives. Two-way texting lets the office answer questions and confirm the day.

Some members will cancel. Record why with a tag or custom field so you can see the pattern later. Tag your plan members too, so reports show who is signed up, who is due and who has lapsed.

Where to Go Next

The rest of this series takes each piece in order, from the equipment record to renewals and the mistakes that sink maintenance programs.
