Getting Paid at the Door: Card on File for Plumbing Service Calls

The old way of getting paid at the door goes like this: the tech finishes, writes up a ticket, knocks, explains the total, waits while the homeowner hunts for a checkbook or a card, and maybe takes a card number on a scrap of paper. Ten minutes later the van finally leaves, and sometimes it leaves with nothing but “I'll mail it.”

A card on file replaces that whole routine.

From the Invoice to the Payment

A clear invoice is half the job; Billing Fixtures on a Plumbing Invoice: Faucets, Toilets, Disposals and Water Heaters and the articles before it cover what goes on the bill. This article is about the other half: getting the money for it without a conversation at the door.

What Card on File Means

A card on file is a payment card the customer has given you permission to charge for work you do. In PlumbingBossPro it is saved on the client, not written down anywhere. Nobody in the office or the van sees the full number, and nobody has to read it out loud on the phone.

Customers can put a card on file in a few ways:

Getting the card before the first visit is covered in Collecting a Card on File Before the First Plumbing Visit.

How the Charge Happens

With a card on file, the tech's side of payment is one tap. When the work is done, the tech taps Complete in the tech app. PlumbingBossPro creates the invoice from the job and can charge the card on file right then. The customer gets their invoice, the office sees the job done and paid, and the tech drives to the next call.

If you would rather not charge at completion — for example, you want the office to review bigger invoices first — charges can run on a schedule instead. Many shops charge small service calls at completion and review water heater and repipe invoices before charging.

Explaining It to Customers

Most homeowners are used to cards on file from streaming services, rideshares and their gym. A short, plain explanation is enough:

The “you don't have to be home” part sells it. A lot of plumbing work happens while the homeowner is at work: a water heater flush in the garage, a hose bib repair, a cleanout access outside. Card on file lets the job finish and get paid without anyone waiting around.

The Tech Stops Being a Collector

Techs do not like asking for money. Some get good at it; many do not. When payment is attached to Complete, the tech's job is the plumbing. The conversation at the door can be about what was found and what to watch for, not about the total.

That also removes a risk. A tech who takes a check or cash has to get it back to the office. Checks get left on dashboards. Cash creates questions nobody wants to ask. A card on file charged at completion leaves a clean record with the job.

Customers Who Prefer to Pay Themselves

Not every customer wants a card on file, and that is fine. They can see their invoice in the customer app and pay online from their phone. The office can send a reminder by text or email, and past-due follow-up catches the ones that slip. Online payment is covered in Online Payment From the Customer App: Letting Plumbing Customers Pay From Their Phone.

Property managers, landlords and restaurant accounts usually do not pay per job at all. Set them to Monthly, and they get one statement covering every address.

Start With New Customers

You do not need to convert every existing customer at once. Make the card part of booking for new customers, mention the customer app to existing ones when the tech visits, and let it grow. Each customer with a card on file is one fewer invoice to chase.

For how card on file connects to invoices, auto-charge, online payment and monthly statements, see the PlumbingBossPro plumbing invoicing software page.

Paid Before the Van Leaves

PlumbingBossPro charges the card on file when the tech taps Complete, so nobody has to ask for money at the door.
