Collecting a Card on File Before the First Plumbing Visit

The best time to get a card on file is before anything is broken in front of you. Once the tech is standing in a wet kitchen, payment becomes a negotiation. When the card is collected at booking, the visit is just plumbing.

Why Before, Not After

The case for a card on file was made in Getting Paid at the Door: Card on File for Plumbing Service Calls. This article is about the timing. A card collected after the job is a payment. A card collected before the job is a relationship: every future visit gets paid the same way, without asking again.

Route One: The Website Sign-Up Form

PlumbingBossPro gives you a website sign-up form that captures a card. When a new customer fills it out — for a yearly water heater flush plan, a drain maintenance plan or simply to become a customer — the sign-up lands in Form Responses in the office with the card attached. One click converts the sign-up into a client, with their address and card ready to go.

Put the sign-up form where it makes sense:

For one-off service calls, many shops use the separate website request form instead. Requests also flow into Form Responses, and the office can follow up with a sign-up link before the visit.

Route Two: The Customer App

Every client can use the customer app. From there they can add a card, update it later, see invoices, pay online, request service, sign up for services with pricing, and choose their alerts. When a customer would rather enter the card themselves than read it over the phone, send them to the app.

The app also helps customers trust the card on file. They can see every invoice it was charged for. Nothing happens to the card that they cannot look up.

What to Say When They Hesitate

Some customers balk at giving a card before the work. A few honest answers cover most of it:

If they still say no, that is their call. They can pay online from the customer app when the invoice arrives. Do not make the card a condition of a first service call unless that is truly your policy and you say so at booking.

Who Should Always Have a Card on File

Some customers are worth insisting on:

Property managers and restaurants are usually billed monthly on one statement instead, so a card at every address is not needed.

Bringing Existing Customers Over

If you have years of customers on paper or in spreadsheets, bring them in with a CSV import. Addresses are placed on the map automatically. They will not have cards on file yet, and that is normal. Each time one of them books, the office can text a sign-up or customer app link. Each time a tech is at the door, they can mention it.

Over a season, most of your active customers end up with a card on file without a big campaign.

Make It Part of Booking

The single most useful habit: every new booking gets asked for a card. Write it into the script for whoever answers the phone, and put the sign-up form link in the confirmation text. Once that is routine, collections get easier every month.
